Special Events Volunteer and Staffing Coordination & Management

Challenge

As an extension of the OhioHealth events team, EMS worked closely with OhioHealth to execute three annual events for divisions of the healthcare entity. These included an annual Parkinson’s Symposium to empower individuals living with the disease and their care providers, a Shopping Trip event for OhioHealth associates to honor years of service to the organization and the annual OhioHealth Prism Awards, an evening cocktail event with a formal awards program honoring the amazing work of OhioHealth associates.

Solution

To execute the events seamlessly, EMS put forth its best management and coordination efforts while collaborating with multiple vendor partners and OhioHealth as an integrated part of the team.

 

At the Parkinson’s Symposium, EMS provided 15 brand ambassadors who served as wayfinders, wheelchair transporters and friendly faces to the 250+ attendees of the conference.

 

EMS showcased its logistics and detail-oriented skills at the June Shopping Trip by coordinating 451 OhioHealth associate volunteers throughout the day-long event. Communicated in advance of the event, each associate received an individualized schedule with roles and location assignments to make their job a breeze.

 

In addition, EMS screened correspondence, sent out detailed run of show schedules, pulled together event maps and volunteer assignments, hosted pre-event trainings, on-site briefings and more. Similarly, EMS coordinated 103 associate volunteers at the annual Prism Awards.

 

The success and seamless integration of EMS’ role in all three events earned the company continued work with OhioHealth at future events thereby expanding of the events management arm of the business.
